Position Responsibilities:
  • Manage the event planning team that plans incentive events, such as management incentive trips
  • Strong experience with planning travel trips on both a national and international level for managerial and senior level employees 
  • Research national and international destinations and means of travel, to include site selection, prices, passport and international travel requirements, tourism and customs
  • Ability to be highly creative and plan “once in a lifetime” trips
  • Knowledgeable with booking travel and logistical planning
  • Supply travelers with pertinent information and useful travel/holiday material, such as guides, maps, event programs, etc.
  • Manage the Travel Planning team, which books airlines, hotels and car rentals; this team handles all employee travel reservations
  • Develop and monitor travel budgets to ensure expenses are kept within established boundaries.  Review financial information for accuracy, and assist in the preparation of financial reports for the team and department
  • Attend incentive trips and provide onsite support and feedback to the team
  • Develop and monitor workload distribution, event budgets, timelines, surveys, and all quarterly metrics as they relate to the department incentive program
  • Provide consistent and ongoing training and development to the team
  • Provide exceptional customer service, but also derive the best value in terms of savings and service
  • Assist the department with other company sponsored events

Experience Required:
  • Extensive experience planning national and international trips for large groups of employees, ranging from 50-2,000 employees
  • International trip planning experience is a requirement
  • Professional certifications a plus, such as Certified Special Events Professional (CSEP) or Certified Meeting Professional (CMP)
  • A minimum of five (5) years hands-on experience in all facets of incentive travel planning
  • A minimum of three (3) years’ experience supervising a team
  • Proven history of providing outstanding customer service while proactively troubleshooting/problem solving Excellent communication and interpersonal skills; Multigenerational team management a plus
  • A minimum of two (2) years of experience with online registration systems; Past experience with SignUp4 a plus
  • Proven ability to negotiate, budget, plan and successfully manage a variety of events of 600 people or more
  • Exceptional on-site event operation skills
  • Proven ability to work on multiple projects simultaneously while remaining organized, efficient and flexible
  • Highly motivated self-starter
  • Excellent written and verbal communication skills; communication with all levels of management
  • Ability to work autonomously/independently yet be an integral part of an overall team environment
  • Knowledge of Microsoft office software, including Word and Excel; Online registration systems experience a plus
